Welcome Artists

Hunters Hill Art Exhibition 2023 is a regional art exhibition, art sale and prize celebrating art in Hunters Hill. It will run from Friday 13 October to Sunday 22 October at the Hunters Hill Town Hall.

How do I enter the Hunters Hill Art Exhibition?

All artwork entries and entry fees for the Hunters Hill Art Exhibition are made via the online Artists’ Portal. You will need to upload a good quality photograph of the artwork. Entry fees are charged per submitted artwork.

Artworks will be accepted from Artists across New South Wales and the rest of Australia. Please take into consideration that if your artwork is chosen as a finalist in the Exhibition, you are responsible for delivering and collecting the artwork on the agreed dates.

What type of artworks are eligible?

Paintings. sculptures, drawings & ink, photography, mixed media, printmaking, watercolour, pottery & craft created since September 2022. Artwork cannot previously have been entered in the Hunters Hill Art Exhibition or be AI generated.

How much does it cost to enter?

  • Standard Artworks – $38.50 incl GST (up to 119cm in any dimension not including frame)
  • Large Artworks – $55 incl GST  (from 120cm in any dimension to maximum size of 175cm x 140cm not including frame)
  • A 35% commission will be paid to Hunter’s Hill Council on all artwork sales.
  • Tickets to the Exhibition are not included in the Artwork Entry Fee and must be purchased separately.

When can I enter my artworks?

Entries Open: 12.00pm Wednesday 13 September 2023
Entries Close: 11.00 pm Monday 25 September 2023

How many artworks can I enter?

Each artist may enter up to 5 individual artworks. A diptych or triptych will be considered as a single artwork as long as they are joined together to be hung as one unit. Together they may not exceed the maximum artwork dimensions allowed for a single artwork.

There is an entry fee charged for each artwork. This entry fee is non-refundable including if the artwork is not selected as a finalist for the exhibition.

If you leave the Artist’s Portal before completing your entry (or need to change the information) click on the button below. You will be asked to log in. You will then be sent an email with a link to your specific portal. You can continue the entry process from there.

Read this information first before opening the Artists’ Portal! 

The Artist Portal requires two separate blocks of information, one about you – THE ARTIST, the other about the ARTWORKS you are entering into the Hunters Hill Art Exhibition 2023.

You will be required to provide information about each individual artwork.

To complete your entry you will need to have the following information or items handy:

ARTIST INFORMATION:

  1. Credit Card for online payment
  2. Artist Name
  3. Address
  4. Phone Number
  5. Email
  6. GST Status
  7. ABN / ACN (if applicable)
  8. Artist Pseudonym if you use one

ARTWORK INFORMATION (for each entry)

  1. Artwork Title
  2. Artwork Dimensions in CM (H x W x D). Note that artworks (not including frame) over 120cm in ANY dimension will be charged as the Large Artwork Entry Fee rate.
  3. Artwork Category (Paintings. Sculptures, Drawings & Ink, Photography, Mixed Media, Printmaking, Watercolour, Pottery & Craft)
  4. Artwork Medium (e.g oil on canvas)
  5. Retail Sale Price (Including GST if you are registered and 35% Hunters Hill Council commission)
  6. Artwork Year
  7. If your artwork is A4 size or smaller (29.7cm x 21cm) select ”Small Works”
  8. If you are a female artist residing in Hunters Hill LGA select ”Eligible for Nora Heysen Award”
  9. Good resolution Photo (JPG / PNG / or TIFF). Please crop photos to just show artwork (not frame). This photo will be used in the catalogue and online should your artwork be selected as a finalist.

Go to Artists' Portal then enter credit card details, then enter artist contacts, then enter artist details. For each artwork you will need to then enter artwork details, upload artwork photo then submit artwork. Repeat for each artwork.

** NOTE: the artwork entry fee will be charged each time you SUBMIT an artwork. **

Additional Details

  • A separate ARTIST’S PORTAL must be completed for each artist
  • You must enter credit card payment details BEFORE entering your artist & artwork information.
  • A non-refundable entry fee of $38.50 (inclusive of GST) will be charged per standard artwork. Artworks over 120cm (1200mm) in any dimension will be classified as Large Artworks and will be charged at $55 (inclusive of GST) per entry.
  • You will be charged each time you hit the SUBMIT button. Make sure that the image and information for that artwork has been uploaded before you hit SUBMIT.
  • Maximum 5 entries per artist
  • All entries must be the original work of the artist and completed since September 2022.

Credit Card Payment Confirmation & Invoice

  • Your credit card will be charged AFTER you submit an individual artwork. A confirmation email & invoice will be sent to you confirming this (usually processed within 24 hours).
  • Please note that the submission payment is not immediate. If you have not received notification of payment after 24 hours, please contact people@huntershill.nsw.gov.au and we will chase this up for you.

Accessing the Artists’ Portal

  • If you leave the Artist’s Portal before completing your entry you will need go to the Artist’s Portal link. again.
  • You will be asked to enter your email address.
  • You will then be sent an email with a link to your specific portal.
  • Click on the link and you can continue the entry process from there.
  • If you are have having issues with the Portal saying that the link is invalid, try clearing your browser cache before requesting a link again.

Adding your Artwork Information on a Computer

  • Click on the +ARTWORK button to add artwork information including title of artwork, dimensions and prize eligibility.
  • The ARTWORK IMAGES +Add Files button is on the RIGHT side of the screen. Hit the CHOOSE FILES button to upload.

  • Do not SAVE until you have uploaded your artwork, otherwise you will need to go back in to EDIT the artwork entry.

Editing your Artwork Entry on a Computer

  • Edit Artwork Entry by scrolling to the bottom of the Portal page and selecting the Artwork you wish to edit by clicking on the EDIT link. This will take you back to the Artwork Page and you can proceed as above.
  • Then SAVE.
  • When you are happy with all of your artwork information and photo then hit the SUBMIT button.


Adding your Artwork information on a Phone or Tablet

  • Click on the +ARTWORK button to add artwork information including title of artwork, dimensions and prize eligibility.
  • The ARTWORK IMAGES +Add Files button is at the BOTTOM of the screen below the SAVE button.
  • Scroll all the way down to add your artwork before saving.


Editing your Artwork Entry on a Phone or Tablet

  • Edit Artwork Entry by scrolling to the bottom of the Portal page and selecting the Artwork you wish to edit by clicking on the EDIT link. This will take you back to the Artwork Page and you can proceed as above.
  • Then SAVE.
  • When you are happy with all of your artwork information and photo then hit the SUBMIT button.

ARTWORK ENTRY FEES:

  • Artwork (up to 119cm) per entry – $38.50 including GST
  • Artwork (above 120cm* unframed in any dimension) per entry – $55 including GST  *maximum size is 175cm x 140cm
  • Commission – 35% to Hunter’s Hill Council on all sales

TICKET FEES:

Artists* (including Finalists) wishing to attend the exhibition will need to purchase tickets.

  • General Exhibition Season Pass $17.00

* Prize winners will be provided with a pair of Complimentary Tickets to Opening Night.

If your Artwork is not prepared properly, it may be rejected when delivered for accessioning. Please make sure you read the following information carefully.

  • All artwork (excluding sculptures) must be DRY and framed, or professionally presented. They must be ready for display with wire and medium to large D-ring hanging devices – as shown below.
  • DO NOT use  TRIANGLE shaped Hangers or very small D-Rings. They will not work with the art hanging system hooks used in the Exhibition and your artwork will not be able to be hung. You will be asked to fix the hangers before your artwork is accepted.
  • There should be no screw eyes or projections on the artwork that could cause damage.
  • Frames or hanging devices requiring repair work will be rejected.
  • Framed area of all artworks is not to exceed 180cm by 150cm.
  • Triptych & diptych artworks must be attached together as if one artwork – otherwise they will be treated as separate entries. The whole artwork including frame should not exceed 180cm x 150cm.
  • Hanging Art works must not exceed 15kg.
  • AI Generated artwork will not be accepted.

Sculptures:

  • All Sculptures must be dry and cured.
  • Sculptures – up to 50kg (Sculptures over 20kg may need to be positioned by the Artist prior to Opening).
  • Sculptures and ceramics will not be displayed in cases for this Exhibition. Please do not enter artworks that have delicate protrusions that could easily be compromised when being handled and placed.
  • Sculptures must be handcrafted. 3D printed artworks will not be accepted.

Artwork will be selected for the exhibition by the Hunters Hill Arts Advisory Committee from photos uploaded to the Artist Portal. Judging of selected artworks (by an independent panel) will occur in-person unless circumstances require artworks to be judged online. The decisions of the panel and judges are final.

If your artwork is selected as a finalist you will receive a short email notifying you of approval. A follow-up email will be sent confirming instructions for delivery.

Please do not phone the Council to check if your artwork has been selected.

Winners will be provided with a pair of complimentary tickets to the opening night ceremony. They must make their own travel arrangements.

Winners will also receive a certificate at the opening night prize presentation.

Prize money will be paid via EFT into the Artist’s nominated bank account.

If your artwork is selected for exhibition you will receive an email notification. Please print out the attached paperwork / QR code from the email when you bring your artwork in for Accessioning / Delivery.

Physical artwork (selected only) will need to be delivered on specific dates to the rear of Hunter’s Hill Town Hall, 22 Alexandra Street, Hunters Hill NSW 2110.

Enter through Loading Dock at D’Aram St Staff Car Park entrance. There is no parking available in this Car Park for artists.

Dates:

  • Thursday 5 October 10.00am – 7.00pm
  • Friday 6 October 8.00am – 4.00pm
  • Saturday 7 October 9.00am – 1.00pm

Overview:

  • Artwork must be dry
  • Artwork must be framed
  • Artwork must be ready to hang with appropriate D-rings and wire – no small triangle hangers or small D-rings
  • Artwork must be clearly labelled
  • All packaging must be taken away by the Artist
  • All artwork must be available for sale
  • Artwork cannot be collected until after the Exhibition has closed

Label:

Write or label clearly on the back or underside of each art work: the Artist’s name, Title of artwork and the price (including GST) that the artwork will be sold for.

  • These details must be the same as on the entry form and Selected Artwork paperwork.

Safety

Everyone delivering artwork to, or attending, Hunters Hill Town Hall must abide by the current NSW Health Regulations. Please follow all directions. Abuse of staff and volunteers will not be tolerated.

Artwork (both sold and un-sold) will be available for collection from Thursday 26 October.

Anyone collecting Artwork will be required to provide photo identification that matches either the Artist or Buyer’s information. If an Artist requires a third party to collect their artwork they will need to email Council at people@huntershill.nsw.gov.au with specific permission via the email address they used for their Artist Portal. The person collecting the email will need to provide photo ID and sign a release form.

Collection of Artwork will be via the Town Hall Loading Dock location in the D’Aram St Car Park. Parking is not available for Artists in this Car Park.

Artwork Collection (Sold and Unsold)

Artwork will only be held for two weeks from the final collection day (28/10/2023) before being disposed of. Please make sure that you make arrangements for your artwork collection in a timely manner.

  • Due to storage considerations, artworks will not be held after 12/11/2023. Any still unclaimed work will be disposed of.

ENTRY INFORMATION

ARTWORK ACCEPTANCE (ACCESSIONING)

  • Artwork must be dry
  • Artwork must be framed.
  • Artwork must be ready to hang with d-rings and wire (do not use triangle hangers or small d-rings.
  • Labels must be attached to the artwork with Artwork name, Artist name and Price. Attach to back or underside of artwork.
  • Bring Exhibition Label with QR Code with your artwork (label will have been emailed with artwork approval)
  • Artwork must be of appropriate size (see Preparing your artwork section)
  • All packaging must be taken away by the Artist
  • All artists and attendees must comply with current NSW Health regulations

Selected Finalist artworks will be listed on on the Hunters Hill Art Exhibition website. Emails will be sent to artists confirming delivery details.

PAYMENT & ARTWORK ENTRY

$38.50 (inclusive of GST) Entry fee per artwork (any dimension up to 119cm).

$55 (inclusive of GST) Entry fee per Large artwork (any dimension over 120cm and up to 175cm x 140cm)

CREDIT CARD PAYMENTS ONLY

Entry is via the online Artists Portal only.  No in person payments can be accepted.

  • Payment method needs to be completed in the portal before artwork may be uploaded
  • Each artwork will be judged in all Prizes and Awards categories for which it is eligible.
  • Entry fees are non-refundable.
  • A separate entry portal must be completed for each artist.
  • Maximum 5 entries per artist.
  • Details and photo must be provided for each artwork
  • All entries must be the original work of the artist and completed within the last 12 months (from September 2022)
  • AI Generated or 3D printed artwork will not be accepted

FINANCIAL INFORMATION

SALES:

All entries must be for sale and all G.S.T. registered artists should include G.S.T. in the total selling price of their artwork.

COMMISSION:

A 35% fee will be charged by Hunter’s Hill Council on all sales.

Sales payments will only be made to Artists once all artwork sales have been reconciled and each artist has provided banking details for the EFT payments to be made.

INSURANCE:

This is the responsibility of the artist. Council accepts no responsibility for loss, theft or damage.

You must complete the GST and / or Withholding tax sections of the Entry form.

ARTWORK DELIVERY AND COLLECTION

IN PERSON DELIVERY AND COLLECTION:

Personally deliver and collect artwork to/from Hunters Hill Town Hall, 22 Alexandra St, Hunters Hill – unless you are informed of an alternative address. All Artwork must be delivered/collected on dates specified in the Important Dates section. All necessary delivery and collection arrangements to be made and paid for by the Artist for the dates specified.

Selected Artwork cannot be collected until after the Exhibition has closed.

Please follow all directions. Abuse of staff and volunteers will not be tolerated.

BRING LABEL THAT WAS IN YOUR APPROVAL EMAIL as this will be scanned by Accessioning team.

ARTWORK DETAILS

Artists may submit up to 5 individual works. Details must be completed and a photograph uploaded to the Artists’ Portal for each artwork.

Before completing the measurements field, please check the “Preparing Your Artwork” list below to ensure you are complying with entry size and weight restrictions.

Please supply the measurements of the artwork as cm(H) x cm(W) x cm(D).

Upload a hi-resolution photograph of your artwork. This photograph will be used for selection and judging. It will also be reproduced in the Catalogue and Online should your artwork be selected as a finalist. Only .jpg, png. or .TIFF will be accepted.

Submit only one photograph per artwork.

LABEL THE BACK OF EACH ARTWORK

Label clearly on the back of each art work: the Artist’s name, Title of artwork and the price (including GST) that the artwork will be sold for.

  • These details must be the same as on the entry form.

COPYRIGHT:

Hunter’s Hill Council reserves the right to photograph works exhibited in the Hunters Hill Art Exhibition for the purpose of documentation and promotion as well as for use in an online gallery.

  • Images of selected artworks may be used to promote this or future Hunters Hill Art Exhibitions including as a Hero Image for future exhibitions.
  • All necessary acknowledgements of authorship will be duly made.
  • It is very important that you do not include elements in your artwork for which you do not hold Copyright.

ARTWORK PRIZES:

Small Works Prize:

Only artworks smaller than A4 will be eligible for the Small Works Prize

Regional Art Prize:

Only artists residing in the Municipality of Hunters Hill, City of Ryde, City of Canada Bay or the Municipality of Lane Cove will be eligible for the Regional Art Prize.

Nora Heysen Prize:

Only female artists residing in the Municipality of Hunters Hill will be eligible for the Nora Heysen Prize.

REFUSAL OF ENTRY:

Hunter’s Hill Council reserves the right to refuse any entry.

In the event of a dispute regarding the interpretation of the Conditions of Entry, the decision of Hunter’s Hill Council shall be final.

DECLARATION

By submitting your artwork for Hunters Hill Art Exhibition 2023 you agree that:

  1. The artwork submitted by you is an original artwork, created by you within the last 12 months (from September 2022).
  2. You have read and agreed to the conditions of entry for Hunters Hill Art Exhibition 2023 and that all information provided in your Artist Profile and Artwork Entry is true and correct.
  3. You have read and noted all important dates such as notifications, various drop off and collection dates and times.

I’d like to help out at the Exhibition. What should I do?

We are seeking volunteers to help during one or a combination of these stages:

  • Set Up – 2 weeks prior to opening
  • Exhibition – Friday 13 October to Sunday 22 October 2023
  • Pack up – Week following exhibition period.
